The Corporate Office provides corporate administration responsibilities as designated by the Local Government Act and Community Charter. This includes the preparation of agendas, minutes, correspondence and research for all meetings of Council. Archiving, minutes of other meetings, bylaws and other records of the business of the local government and its committees and providing access to records, certifying bylaws and other documents, administering oaths and affirmations, declarations and affidavits.
The Corporate Office is responsible for the administration of the Freedom of Information and Protection of Privacy Act. The office is also responsible for Civic and School Board Elections, Land Management , Joint Family Court and Restorative Justice Committee and Board of Variance.
The Local Government Act and Community Charter establish the authority and framework under which municipal governments operate. In accordance with this legislation, the City Council is required to appoint a Corporate Officer, who:
- Has custody of:
- the Corporate Seal
- the minutes and other documents relating to the business of the City
- Bylaws
- Is empowered to:
- maintain a list of electors
- sign and seal official documents on behalf of the City
- guide the legislative business of the City, in accordance with the authority established by the Community Charter and Local Government Act
- place advertisements and notify residents and affected property owners of public hearings for land use bylaw amendments and Development Variance Permits
- maintain, preserve and safeguard the bylaws and Council records
- administer oaths and take and receive affidavits, declarations and affirmations, relating to municipal business
- conducting municipal elections
- preparing and managing agendas and packages for Council meetings
- preparing minutes of Council meetings
- communicating the decisions of Council
- processing Freedom of Information requests
- providing copies of bylaws and minutes
- interpreting and providing advice on Council procedures, actions and policies
